Creating a Mail Merge Letter

To create a mail merge letter, click on the Mailings tab and then Start Mail Mail Merge. From the drop-down list click on Step-by-Step Mail Merge Wizard.
Select the type of document you want to create. In this tutorial, you are going to create a letter. Click Next: Start Document to go to the next step.
Select the starting document. In this tutorial you will Use the Current Document.
Now you need to type the text of your letter into the document.
When you have typed in the letter text, click on Next : Select Recipients .
It is now time to link your letter to the list of names and addresses. You have probably already created your list of names and addresses. If you still need to do this, click on the button below to find out how to create your list.Creating a Data Source List
Click on Browse to locate your list of names and addresses.
Find the list of names and addresses and click Open.
If you have created your list in a spreadsheet or database, you will need to select which part of the spreadsheet or database file contains the list of names and addressed. Select the correct list and then click OK .
Check the list of names and addresses to make sure they are correct and click OK .
Click on Next : Write Your Letter .
Now you can add the fields from your list into your letter.
Click to place your cursor where you want to add the recipients first name.
On the right of your screen, click on More Items .
Select the first name field and click Insert .
Click Cancel and then place the cursor where you want the surname field to go. Click on More Items again and add the surname field.
Repeat these steps to add the recipients name and address at the top of the letter as well.
When you have added all the fields, click on Next : Preview Your letters .
The names and addresses will automatically be added to your letter.
You can use the navigation buttons to see each letter in turn.
Click on Next : Complete the Merge to create your letters.
Click on Edit Individual Letters to compete your mail merge.
You will need to save your letters using an appropriate file name.
